Frequently Asked Questions

This is where we list some of the Frequently Asked Questions that come our way. If you are looking for information that you haven't found so far on the site, it may well be here...

Q.

What is a conference call?

A.

A conference call is a telephone call in which more than two people take part. Technology today means that the total number of people who can take part in a single conference call can be very large - as many as 10,000 people can attend the same conference call from all parts of the world.

Conference calls typically replace face to face meetings for groups of people, typically between 5 and 10 in number. Companies all over the world use them as a quick, cost effective and efficient way to communicate when it is difficult or expensive to get everyone together in the same room.

Q.

How does a conference call work?

A.

You do not need any other equipment than your standard phone, either fixed line or mobile phone. Some people use specially designed loudspeaker conference phones if there is more than one person at each location, but the common practice is for each individual to dial in using their own phone.

A conference call utilises standard public telephone networks and can be made from any phone, in any place around the world 24 hours a day, 7 days a week. The technology behind the Conference Call Service is a high grade switch that enables all the lines coming into a conference to be at the same volume and ensures that people can speak at the same time without delays or clipping, even if they are the other side of the world. It is clever stuff, but what it means is that the call is almost as if the participants were in the same room.

Q.

How much notice is needed to set up a conference call?

A.

A conference call can be arranged at a minute's notice, although the more time you allow the easier it will be for you to distribute the dial-in details to the participants.

Q.

Will I be charged if the call doesn't take place or is cancelled?

A.

3+ do not normally charge if a conference call does not take place (i.e. a 'no show') and there are no cancellation fees. However, we are always grateful if you can let us know in advance if a conference call is not going to take place.

Q.

What is a MeetingSpace number?

A.

This is the telephone number you dial to get into your conference and can be an 0870, 0845 or 0207/8. For callers from overseas, we have a number of options. Please contact us for details

Q.

What is a PIN number?

A.

There are two types you need to be aware of 1) Host PIN, and 2) Participant PIN.

1) Host PIN: If you are the account holder, to start a conference call you need to dial your MeetingSpace number and then when prompted enter the Host PIN. This begins your conference call.

2) Participant PIN: If you are a participant, to join a conference call you will need to dial the MeetingSpace number and then when prompted enter the Participant PIN.

Q.

Will our conference call be disconnected if it exceeds the pre-booked duration?

A.

3+ do not limit the duration of a 3+ Open conference call even if the conference starts late. However if you use the online booking/scheduling feature your call will be valid from the scheduled time to 1 hour after the end time only.

Q.

What do I do if I need to speak to someone at 3+ during the call?

A.

A 3+ operator is never far away. Just dial *0 from your telephone keypad during the conference. Operator assistance is available Monday to Friday from 07:00-22:00. If you require operator support outside these hours please contact us.

Q.

I have a 3+OPEN dial-in number and PIN code - do I need to let 3+ know each time I need to hold a conference call?

A.

For your convenience your 3+OPEN line is available 24 hours a day, 7 days a week, there is no need for you to contact us once you have opened your account.

Q.

Are there any other conference call features I should know about?

A.

The most popular features are 'Operator Assistance' where one of our representatives attends your conference and assists in the smooth running, and 'Conference Replay' which allows you to make a digital recording of the call. For more information, see the User Guide.

Q.

Can I use different types of phone number to dial into my MeetingSpace?

A.

Yes, there are a range of dial-in numbers that you and your participants can use to access the service depending on your requirements. For example we can offer local access numbers from certain countries around the world as well as a range of UK numbers (0870,0845,0800,020). To learn more about the dial in options and discuss which are best for you, please contact us during office hours.

Q.

I am running a big conference call, can you help me?

A.

Yes - we can organise a roll call and introduce your meeting, as well as help with features such as Presentation Mode, Question and Answer and Voting. Please contact us for more details.

Q.

What should I do if I cannot access the conference call?

A.

If you experience any difficulties in joining your conference call please re-dial and enter your PIN number again. If you still have difficulties please wait on the line and a 3+ operator will assist you.

Q.

Some of my participants are based overseas - can they still dial into the conference?

A.

International calls can be made into all conference calls (excluding 0800 numbers). Overseas participants should dial 0044 followed by the dial in number.

Don't forget you can also use the 3+ International Access facility which allows you to use a range of in country dial in numbers for your convenience. Click here for more details.

Q.

Do I need any specialist equipment in order to join a conference call?

A.

No, you can access your conference call using any landline or mobile phone, within the UK or Internationally. However, if you are using a mobile phone, please ensure that you find a good location in order to maximise the quality of your line. When using a speaker phone it is important that you use a professional conference telephone otherwise you may get noise, echo and gaps in the conversations due to poor loud speaker phones.

Q.

Why is my dial out facility not working?

A.

For security reasons the dial out functionality is not automatically enabled when you open a new account. If you wish to activate this facility on your account please contact us on 0845 310 5050 (international callers +44 1844 265519) or email.

Q.

How do I know that my conference call is secure?

A.

There are a number of facilities you can use to ensure that your conference call is private. These include being able to lock your conference and implement a roll call of the participants. The User Guide has full details of these options. If you want to change your security settings on your account, or alter your PINs, please contact us.

Q.

How do I receive notification of my bill?

A.

You will receive an email each month notifying you that your latest statement is available for viewing online and is now due for payment. Please make sure that the email address you gave us on registration is kept up to date. If you would like us to send you a paper bill each month please advise our customer service team, however we do charge a small fee for the additional costs compared with an electronic bill.
